How is Psynopsis different from Freed or Heidi?
Freed and Heidi are general medical scribes designed to cover many specialties. Psynopsis is built exclusively for prescribing psychiatric clinicians by a practicing PMHNP: it reconciles psychiatric medications instead of just transcribing them, auto-populates the mental status exam in standard nomenclature, structures SI/HI (passive vs active, plan, intent, means, protective factors), organizes the assessment and plan by diagnosis, handles 42 CFR Part 2 records and offers a post-session dictation mode that records nothing from the session.
Does Psynopsis work with my EHR?
Yes. Psynopsis runs beside any EHR as a web app or Chrome extension, so there is nothing to install on the EHR side. Finished notes copy into your system as structured text, and the Chrome extension keeps Psynopsis open alongside browser-based EHRs such as Athena, DrChrono and CharmHealth. Direct integrations are in development; contact us if you would like to be notified when your EHR is supported.
How accurate is the AI transcription?
The AI is purpose-built for psychiatric terminology and clinical language: medication names, dosage formulations and MSE nomenclature. All AI-generated documentation is a draft that requires clinician review before finalization; Psynopsis does not replace your clinical judgment. You review and edit every note before signing.
What note types and templates are included?
Psychiatric initial evaluations, medication management follow-ups, therapy progress notes, MSE-integrated notes, treatment plans, prior authorization documentation and coordination-of-care letters. Templates follow psychiatric documentation conventions: diagnosis-organized assessment and plan, structured risk assessment and the MDM elements used for E&M leveling. Custom templates are available on the Professional plan.
Does it help with E&M leveling and psychotherapy add-on codes?
Psynopsis surfaces the medical decision making elements (problems addressed, data reviewed, risk) and documents psychotherapy time, so the note supports the E&M level (99213/99214) and add-on (90833/90836) you select. Diagnostic evaluation templates cover 90791 and 90792. Code selection stays with the clinician; Psynopsis organizes the documentation behind it.
Compliance & security
Is Psynopsis HIPAA compliant?
Yes. Psynopsis has implemented the administrative, physical and technical safeguards required under HIPAA. We offer Business Associate Agreements (BAA) for all paid plans, use AES-256 encryption at rest and TLS 1.3 in transit, and host all data on HIPAA-compliant US-based servers with regular security assessments.
Is there a BAA?
Yes. A Business Associate Agreement is included with every paid plan, and we will email a copy for review before you subscribe. Enterprise customers can use a custom BAA. 42 CFR Part 2 handling is built in for substance use disorder records.
Is audio recorded or stored?
No. Audio is processed in real time for transcription and immediately discarded. Nothing is stored on our servers, backed up or used to train models. If you use post-session dictation, the session itself is never recorded; only your short summary is processed, and that audio is discarded the same way.
What happens to my patient data?
All data is encrypted, we never sell or share patient information, and you retain full ownership of your documentation. Patient data is never used to train AI models. Data is stored on secure, HIPAA-compliant US servers and can be exported or deleted at any time upon request.
How does Psynopsis handle 42 CFR Part 2 and psychotherapy notes?
Psynopsis maintains separation between psychotherapy notes and progress notes, with access controls for each record type, so substance use disorder documentation covered by 42 CFR Part 2 stays distinct from the general record. Details are on the compliance page.
How does NPI verification work?
During signup we verify your National Provider Identifier (NPI) against the NPPES database so that only licensed healthcare providers can access the platform. Verification typically takes less than 24 hours and keeps the user base limited to clinicians.
Pricing
How much does Psynopsis cost?
Basic is free forever and includes AI-assisted documentation, basic templates, Chrome extension access and community support. Professional is $75 per month and adds advanced AI features, custom templates, MSE integration, treatment planning tools, priority support and an analytics dashboard. Enterprise is custom-priced for practices and organizations, with multi-user access, an admin dashboard, custom integrations, dedicated support, a custom BAA and onboarding assistance. No credit card is required to start.
Can I switch plans later?
Yes. You can upgrade or downgrade at any time; changes take effect at the start of your next billing cycle.
Is there a free trial of Professional?
Yes. Professional comes with a 14-day free trial, and no credit card is required to start.
What payment methods do you accept?
All major credit cards (Visa, Mastercard, American Express). Invoicing can be arranged for Enterprise customers.
Workflow
Can I use it without recording the patient?
Yes. With post-session dictation you see the patient normally, then dictate a two-minute clinical summary after they leave. Psynopsis structures it into a complete note with MSE, diagnosis-organized assessment and plan, medication changes and the documentation to support your E&M level. You can choose ambient recording or dictation for each visit.
How long does post-session dictation take?
Most providers dictate for 60 to 120 seconds per patient. A focused summary of medication changes, symptom status by diagnosis, MSE findings, safety assessment and plan is all Psynopsis needs to draft a complete note, and you can add to or edit the draft afterwards.
What happens if the AI makes a clinical error?
Every note is a draft that requires your review. You must verify all medication names, dosages, clinical assessments and treatment plans before finalizing any note. Psynopsis is a documentation assistance tool; all clinical responsibility remains with the licensed provider. We recommend reviewing each section before signing, particularly medication entries and risk assessments.
How long does setup take?
Creating an account takes a couple of minutes: sign up, verify your NPI and pick your templates. NPI verification typically completes within 24 hours, and most providers are documenting real visits within 30 minutes of getting in. Expect a brief adaptation period of one to two weeks before you see the full time savings. Enterprise customers receive dedicated onboarding assistance.
Should I use the web app or the Chrome extension?
Both run the same psychiatric templates and quality checks. The web app is the full workspace, with encounter history, transcript, MSE panel, plan and billing calculator, and suits telehealth or a dedicated documentation screen. The Chrome extension keeps Psynopsis in a panel beside a browser-based EHR so you can capture the encounter and paste the note without switching windows. Many providers use both.
